Receiving callers or visitors<br \/>\nb. Handling Telephone calls<br \/>\nA. RECEIVING CALLERS OR VISITORS<br \/>\n1. She receives visitors warmly<br \/>\n2. She must make an appointment with visitors<br \/>\n3. She makes visitors comfortable while waiting for an office<br \/>\n4. She must receive and give information concerning the organisation<br \/>\n5. She must direct the visitors correctly<br \/>\n6. She must pleasantly and politely receive visitors with the use of &#8220;can I help you, please&#8221;?<br \/>\nB. HANDLING TELEPHONE CALLS<br \/>\n1. She must use clear and pleasant voice with short answers<br \/>\n2. She must keep a log of calls<br \/>\n3. She must not disclosed unauthorised information<br \/>\n4. She must write down the message received from telephone calls<br \/>\n5. She must answer the call with the name of the organisation or department and not her name<br \/>\n6. She must say thank you at the end of the call<br \/>\nHOW TO RECEIVE AND TREAT VISITORS<br \/>\nThe kind of approach given to visitors will determine whether the visitors are warmly received or not. These are cogent things a receptionist must know:-<br \/>\n1. Approach \u2013 e.g. know what to say to them<br \/>\n2. Assistance \u2013 e.g. offer a sear or direct well<br \/>\n3. Attention \u2013 e.g. be attentive, listen to them<br \/>\n4. Solution \u2013 e.g. provide solutions to their problems<br \/>\n5. Conclusion \u2013 say welcome sir\/ma and thank you at the end<br \/>\nAppropriate Office Dress Code<br \/>\n&#8220;Dress the way want to be addressed&#8221;.<br \/>\nThere are major dress codes which are:<br \/>\ni.
